What data we process
Contact form data: name, email address, optional phone number and the content of your message. You enter this data yourself when you send us an inquiry.
Technical visit data: IP address, time of access, the address of the requested page, and browser and operating system type. This data is generated automatically and recorded in server logs.

Individual cookies are described in detail on the page Cookies.
Purposes and legal bases
Answering inquiries and communicating with you: we process contact form data so that we can answer your question and prepare an offer. The legal basis is taking steps at your request prior to entering into a contract (Article 6(1)(b) GDPR), and for general questions our legitimate interest in responding to a message we receive (Article 6(1)(f) GDPR).
Operation and security of the website: we process server logs to ensure the operation, stability and security of the site on the basis of legitimate interest (Article 6(1)(f) GDPR).
Website analytics: we measure visits to the site with our own installation of the open-source tool Umami, which runs on our server in Germany. The tool does not use cookies and does not store IP addresses or other personal data; it only collects anonymous data about the pages viewed, the time of the visit, the country, and the type of device and browser. The legal basis is our legitimate interest in understanding how the website is used (Article 6(1)(f) GDPR).
Retention
We keep inquiry data until the matter is resolved, and at most 12 months from the last communication. If the inquiry leads to business cooperation, longer statutory retention periods apply to the related documentation.
Server logs are kept by our hosting provider within its default retention periods.
Recipients and processors
We do not sell personal data and do not pass it on to third parties for their own purposes. Access is limited to employees who need it to handle your inquiry and to the processors listed below.
Hosting provider: the website is hosted by Vercel Inc., which serves visitors from Europe through infrastructure located in the European Union.
Email service provider: messages from the contact form are delivered to us by our email service provider.
Cloudflare: the contact form is protected by Cloudflare Turnstile, a service of Cloudflare, Inc., which processes technical data (IP address and browser characteristics) in order to tell people apart from automated programs. Any transfers outside the European Economic Area take place on the basis of standard contractual clauses.
Meta: on the homepage we display the latest posts from our Facebook profile. The post data is retrieved by our server; your browser only loads the post images from Meta Platforms Ireland Limited, in which case Meta receives your IP address and basic browser data. No Meta cookies are set in the process.
Where data is transferred outside the European Economic Area, the transfer takes place on the basis of appropriate safeguards, such as the European Commission’s standard contractual clauses.

In relation to your personal data you have the right of access, rectification, erasure, restriction of processing, data portability, and the right to object to processing based on legitimate interest. Where processing is based on consent, you may withdraw it at any time.
To exercise your rights, write to us at info@kancler-sistem.com. We respond to requests within one month of receipt at the latest. If we cannot reliably identify you from the request, we may ask you for additional identification details.
